MENU INFORMATION

Sandhill Winery provides catering services for their events with their incredible culinary team. While working alongside the chef and our event specialist, we can design a locally-inspired menu that reflects your taste and vision. The options are flexible spanning from plant-based menu items to farm fresh meats. The Sandhill culinary team will ensure to cater to every one of your guests and meet every single detail.

SPECIAL MEAL REQUESTS & ALLERGIES

Sandhill is happy to accommodate requests for special meals such as gluten-free, vegan, and vegetarian. Special meal requests must be made a minimum of 14 business days prior to the wedding date. Allergies will also be accommodated, given adequate notice.

You will be required to provide Sandhill Winery a copy of your comprehensive seating plan showing the location of those guests requesting special meals a minimum of 5 days prior to reception dinner.

WINE SERVICE

Sandhill is the only provider of wine at your wedding. They offer an extensive list of award-winning wines including those of their partner wineries.. Our sommelier will assist you with food and wine pairings to elevate your experience at Sandhill. Your event at Sandhill can include the following wine services::

- Wine Paired Dinner Service

- Wine Tasting Bar

- Wine by the Glass

- Sparkling Toast

Legal drinking age in the province of British Columbia is 19 years.

Alcohol consumption on Sandhill Winery is limited exclusively to those who have reached the age of majority or older*

COSTING AND ESTIMATES:

We require a “good” estimate of your guest count and food choices 30 days prior to your wedding. Your final guaranteed numbers are required 14 business days prior to your wedding. This is the minimum number you will be charged for, regardless of any last-minute cancellations within that 14-day period.

For your budgeting purposes, please anticipate the following when doing your calculations (please note these amounts are based on historical information and industry guidelines):

•One bottle of wine (750 ml) serves 5 glasses

•One bottle of sparkling wine services 6 flute glasses

•Estimate half a bottle per person for dinner wine

•Estimate a minimum of 5-6 pieces of hors d’oeuvres per person, based on a one-hour reception prior to the main meal

•Estimate 2 drinks per person for a one-hour reception and 1 drink per person every half hour after that while the bar remains open

•Anticipate 20-30 minutes for each course to be served, for an enjoyable dinner service (this suggested timing will depend on the number of guests being served and the length of speeches if in between dinner service)

SERVICE CHARGES & TAXES:

All Food & Beverage costs, as well as venue rental fees are subject to the following applicable provincial taxes:

• All food and beverage are subject to an automatic 18% gratuity and 5% GST

• All alcoholic beverages are subject to a 10% liquor tax

• All additional rentals and associated fees are subject to 5% GST and 7% PST

• All additional labour services are subject to 5% GST and 18% gratuity

Sandhill Terms & Conditions

This booking is not confirmed until Sandhill Winery receives a copy of your completed contract back, signed by both parties.

1. A minimum, non-refundable deposit of 50% of the contract total is due at signing via credit card. The remaining total will be due 5 business days prior to the event. A final invoice will be shared to you with final bar bill and any extra charges following your event which will show all costs and deposits applied, including any incidental charges and all gratuities. Payment is required within 48 hours of receipt unless otherwise pre-approved. We do accept EFT as an alternate form of payment, terms to be confirmed and approved with Billing Team.

2. Menus, wine selections of function must be finalized and approved at least eight weeks prior to your wedding.

3. Number of guests must be guaranteed at least ten (14) business days in advance of function.

4. Your event space is guaranteed for the group sized listed in this contract. Should the size of your group change, Sandhill Winery reserves the right to move your group to a more appropriately sized function room if one exists based on availability. Your venue fee will reflect the newly confirmed space.

5. Cancellation of function within 6 months of function date or more will be subject to full refund minus administration fees, cancellations less than 6 months of function date will be subject to a 100% charge of all services rendered.

6. Entertainment must be pre-arranged and pre-authorized by Sandhill Winery Wedding Planner, set up time for entertainment is no earlier than 11:00 am on wedding day.

7. Any changes to this contract must be agreed upon and initialed by both parties to be valid.

8. A Credit Card number is required to guarantee the booking. Deposits and total amount are payable by credit card. If no alternative method of payment is given, the credit card on file will be charged. Full payment must be received within 48 hours after the final invoice has been issued.

9. Payment cannot be processed day of event for functions. You will receive a detailed invoice within 48 hours of your event. Final payment will be due at that time.

10. Sandhill Winery reserves the right to make changes to food selections or wine selections without notice depending on the availability of the product and the discretion of our Catering Chef.

11. We reserve the right to charge a fee for any damages incurred.

Items NOT included:

  • Your meal. Food pricing will vary according to your menu selection

  • Your bar. All wine and alcohol costs are based on consumption. You choose which wines you would like to offer your guests and you will only be charged for the bottles opened.

  • Centerpieces, flowers and tabletop décor (candles, table numbers, charger plates, etc.)

  • Additional lighting (Chandeliers, Edison Bulbs, Up lighting, etc.)

  • Audio/Visual equipment for slide shows

  • Additional linens (runners, overlays or coloured linen)

  • Chairs, tables, and all cutlery and glassware

  • Professional DJ or live band

  • Keepsakes for your guests. Please ask us about ideas for wine and wine-related gifts!

  • Wedding Planner services. We recommend all weddings to have a dedicated wedding planner or “Day Of” Coordinator to ensure the smooth execution of your wedding. Please ask us about rates for our in-house “Day Of” Coordinator services.

Winery Policies the day of the function:

1. Sandhill is not responsible for any lost or stolen items.

2. Any damage to the property will be charged to the final bill.

3. All decor needs to be removed from the property by 12:00 am at the end of the wedding.

4. Rehearsal times are available and by appointment with Livi Waller team.

5. Ceremony and Reception timeline will be provided by our planner Livi Waller.

6. Last call 11:00 pm and Music off at 11:30 pm

7. Sandhill Winery closes at 12:00 am

8. No smoking permitted inside the winery.

Abusive and harassing behaviors, both verbal and /or physical, towards Sandhill staff or guests will not be tolerated. Failure to comply with this policy will result in police involvement and could lead to legal action and monetary fines and charges.
